Team Assistant – Children’s Charity

Job Description

Wonderful opportunity for a bright and pro-active Team Assistant / Co-ordinator with excellent communication skills to join a leading national charity for children.

The Company

The Role 
As Team Assistant your main role will be supporting the work of the Project Managers who deliver the bespoke ‘individual’ experiences and children's events. You'll work across a varied range of administration and co-ordination tasks. You'll support the team in an administrative capacity for all new and existing enquiries and on-going projects. This will involve managing a high volume of work on a daily basis through preparing written data, taking telephone enquiries, maintaining accurate databases and records, lots of liaison, letter and email correspondence, thank you letters, guest lists etc.  You’ll also have the opportunity to assist at events and charitable activities as required. Your interpersonal and communication skills, as well as your natural personality and sensitivity, are paramount to this role. You'll dealing with the families and medical professionals as you liaise and co-ordinate initial applications/requests and their progress through to confirmed projects.  A busy, varied team support and co-ordination role, that needs excellent admin and communication skills!

Key Responsibilities:

  • Full team and admin support to the team of Project Managers
  • Daily telephone and email correspondence from a variety of contacts, internal and externally 
  • Regular data entry, report compiling and management of database records – maintain accurate and compliant records
  • Administering the receipt and acknowledgement process for incoming requests, (both verbally and in written communication) and liaising with families, varied medical professionals and other professionals and referrers to assess each request
  • Preparation of written correspondence such as thank you letters and invitations
  • Develop and maintain effective working relationships with internal colleagues and a range
  • Attendance at a set number of events throughout the year as and when required.
  • General and varied admin support to the team as they deliver varied projects

About You
Well presented, articulate and motivated – with great IT skills - who enjoys managing a high volume of work.  You’ll be a natural organiser, with good time management and notable attention to detail. Good co-ordination skills, an enthusiastic and proactive individual who demonstrates a high level of diplomacy and empathy in you work.  You’ll have a mininum of 1 year’s experience, ideally within an admin/co-ordination role.  You'll enjoy supporting a team, and are happy juggling multiple tasks and activities.  Excellent communication skills, both written and spoken are essential.  

Key Requirements:

  • Advanced PC skills - Microsoft Office software (Word/Excel/PowerPoint)
  • Second jobber, with minimum 1 years experience in a high profile administrative support role in a professional environment
  • Exceptional written and verbal communication skills – and excellent attention to detail
  • Good working knowledge of search engines and how to use them as an effective research tool
  • Diplomatic, calm and measured approach, with strong service orientation
  • Experience in database management (data entry, record management, report compiling)
  • Must be a confident relationship builder with a range of internal and external stakeholders
  • A natural and supportive ‘people person’
