The Organisation
An inspirational charity that organises bespoke experiences and activities to brighten the lives of seriously ill children and their families across the UK. They organise bespoke activities, events and ‘occasions’ that range in size from large scale entertainment days to unique individual experiences, creating special memories for the children and their families - this is an inspiring charity that positively impacts a large number of ill children each year.  

The Role
Your main role will be supporting the work of the Project Managers who deliver bespoke ‘individual’ experiences, supporting across varied administration tasks. As part of this you will play a key role in dealing with families and medical professionals as you liaise and co-ordinate initial applications/requests and their progress through to confirmed projects. Your interpersonal and communication skills, as well as your natural people skills and sensitivity, are paramount to this role. As Administrator you will support the team in an administrative capacity for all new and existing enquiries and on-going projects. This will involve managing a high volume of work on a daily basis through preparing written data, taking telephone enquiries, maintaining accurate databases and records, lots of liaison, letter and email correspondence. You’ll also have the opportunity to assist at events and charitable activities as required. 

Key Responsibilities:

  • Administering the receipt and acknowledgement process for incoming requests, (both verbally and in written communication) and liaising with families, varied medical professionals and other professionals and referrers to assess each request
  • Daily telephone and email correspondence from a variety of contacts, internal and externally 
  • Regular data entry, report compiling and management of database records – maintain accurate and compliant records
  • Preparation of written correspondence such as thank you letters and invitations
  • Manage small scale projects of gathering information and compiling data to be used for promotional collateral for potential new sponsors
  • Attendance at a set number of events throughout the year as and when required.
  • General and varied admin support to the team as they deliver varied projects

About You
You are a well presented and motivated individual – with great IT skills - who enjoys managing a high volume of work. You’ll be a natural organiser, with good time management and notable attention to detail. You are an enthusiastic and proactive individual who demonstrates a high level of diplomacy and empathy in you work. You’ll have a minimum of 1 year’s office experience, ideally within an admin/co-ordination role and have some knowledge of guest experience at events. You enjoy supporting a team and are happy juggling multiple tasks and activities. Excellent communication skills, both written and spoken are essential.

Key Requirements:

  • Excellent interpersonal skills (dealing with diverse range of people – natural empathy and sensitivity
  • Excellent PC skills - Microsoft Office software (Word/Excel/PowerPoint)
  • Second jobber? with minimum 1 years’ experience in an administrative support role in a professional environment – with strong evidence of good admin skills and excellent attention to detail
  • Exceptional written and verbal communication skills
  • Diplomatic, calm and measured approach, with strong service orientation – natural desire to deliver top quality experience in all that you do and with all the people you deal with
  • Experience in database management (data entry, record management, report compiling)
  • Must be a confident relationship builder with a range of internal and external stakeholders
  • A natural and supportive ‘people person’
