Senior Event Co-ordinator – (global wine trade events)

Job Description

Are you a bright Event Co-ordinator looking for your next step, and would enjoy working on global events for the wine trade? 

This independent b2b event producer run (amongst other things) a global events programme through U.S.A., East Asia and Europe, focussed on the wine trade. They produce a global series of exclusive, targeted and brilliantly marketed and delivered ‘tasting’ events bringing together importers and trade buyers in the world’s major wine markets. The company is growing and wants to bring on-board a talented Event Co-ordinator to join the team!

You’d be joining an Events team of three – you’ll be given your own events to run as well as assisting the Event Managers, as you learn the ropes and take on increasing ownership.  It is planned that this role develops you so you would be at full Event Manager level in the team in 12 months – so you’ll be given the support and guidance to reach that goal. As well as the event logistics of setting up the events, the role involves lots of liaison with client sponsors and attendees, and also the complex logistics of co-ordinating the all important wine shipment and deliveries for the events – so this will suit someone with really good communication skills, who loves being super organised, and has the thorough attention to detail that is needed for the high level of project delivery required.  Events are scheduled regionally in blocks – so you would be ‘on tour’ on-site approximately three times a year, but between those weeks away are back at base. 
Key Responsibilities include:

  • Co-ordinate all event logistical elements of events – for your own events, and supporting Event Managers on their events as you learn and develop
  • Sourcing, negotiating and liaising with venues for global events, and event suppliers internationally
  • Managing wine producer client/sponsor relationships pre-event, and on-site
  • Co-ordinating all wine movements and deliveries for events
  • On-site – event set up and event co-ordination
  • Post event reporting and follow up

You need to have c. 1.5 years event co-ordination experience under your belt, and be able to demonstrate that you have proven excellent communication/liaison skills and really thorough attention to detail.  You’ll need to be confident and sociable, as being on-site as part of the team and with clients/sponsors needs an upbeat, client focussed and pro-active personality. You are currently an Event Co-ordinator or Event Assistant, ready for the next step and looking to take your skills to a new environment, which offers you real scope to develop, and would enjoy global travel as part of your role.
Key requirements:

  • C. 1.5 years successful track record in event co-ordination
  • Confident and decisive, keen to succeed and progress
  • Passionate, energetic, with a positive outlook, commercial awareness
  • Strong attention to detail, highly numerate, exceptional organizational skills
  • Task orientated, with the drive to deliver quality work to deadline
  • The ability to manage multiple projects simultaneously
  • Strong communication skills, written and verbal
  • A quick learner with a flair for problem solving
  • An interest in using applications such as Word, Excel and Mail Merge to improve efficiency
