Job Description

Are you an experienced Conference Manager? And would part-time working suit your current needs?

Our client is an established conference company providing full event support services to a mainly Association and Membership Body client base. Initially required to cover a maternity leave period, the Conference Manager will join an existing team, be the main point of contact for your clients, and be the lead in providing a full event management service to your clients, organising in-person, virtual and hybrid events in line with their varied requirements, from seminars to conferences and congresses.

The main elements of the role include:

  • Liaising with clients to ascertain their precise event requirements
  • Managing the overall delivery of in-person, virtual and hybrid events
  • Managing conference programme and abstract submissions
  • Speaker management including liasising with speakers and special guests
  • Selling sponsorship/stand/exhibition space to potential partners/exhibitors
  • Planning marketing/promotion of events to attract delegates, exhibitors and sponsors
  • Oversee event branding and collateral production
  • Provide secretariat service for conference committees, producing agendas, minutes etc
  • Manage small team on project basis, including a conference administrator and temporary event staff
  • Venue, supplier management and negotiation, logistics etc, all event scheduling and planning, and end delivery (virtual/face2face)

You will need to have proven experience in line with the role responsibilities listed above – ie you’ll have good, solid experience of end to end delivery of conference and aligned exhibitions, ideally for an Associations client base (either having worked in-house for an association or as a supporting agency) and have experience across face2face and virtual events - ideally with large delegate numbers.  Experience of dealing with Committees, conference programmes and abstract submissions is also pretty key for this role.

Other things to note:

  • Maternity cover contract until March 2020, 20 hours per week
  • They are looking for someone to start asap (to enable a good handover)
  • Currently working remotely, this role will in due course require a return to the office, which is West London based.
  • The specific days the successful candidate works each week can be agreed, but they must remain consistent through the length of the initial contract.
  • In due course there is the potential for the contract to extend and/or go to increased hours
  • Salary offered is 28-35k DOE (pro rata for 20 hours a week).
