Leading Events Agency with excellent international reputation and long history of being the best in the industry. They specialise in devising and delivering top end in-bound multi-day corporate event programmes in London and the UK for top international clients and their guests. Their programmes are known for their polish, innovation and exceptional standards of delivery. Due to returning and new clients and being exceptionally popular to work with they are looking for another Project Manager to join their brilliant and friendly team. They have a long and excellent global reputation, so you’ll be working with the best, and delivering varied events for some of the worlds leading corporates.
Role
As Event Project Manager you will look after all aspects of your own programmes – their size growing in scale as you further learn and develop. On larger programmes you’ll work closely with a Project Director. Liaising directly with your clients, you’ll have full ownership of all aspects of your events and programmes (normally group, often VIP), direct contact with the client throughout, planning and managing all logistical aspects – across venue, accommodation, travel, sub events, dinners, activities etc. All programmes are hi-end, so bespoke dinners at unique, special or historical venues, accommodation at top 4/5*hotels, VIP transfers and top end London experiences, etc are the norm. You’ll be joining a friendly, down to earth, collaborative team who are highly respected leaders in their field. Key responsibilities include:- Deliver varied event programmes for international corporate clients and their guests in London & UK
- Research venues and services to develop new events, products & services
- Co-ordinate all operational elements, flights/travel, transfers, accommodation, venues, activities – overall programme logistics management
- Planning, managing and implementing complex program operations on-site
- Support the sales team preparing bespoke event proposals and customized solutions for clients incorporating the best of what the UK has to offer
- Manage client relationship with the awareness of differing cultural styles, along with the handling of VIP guests
- Program budget management from initiation to final invoice, including deposit schedule and the maximization of profit
- Managing all suppliers including the booking of staffing, transportation, entertainment, décor, all venue liaison etc.
- Handling high-profile security conscious VIP guests
- Preparation of detailed program documents, and database management (ie: attendee travel data)
- Maintain relationships with key suppliers and nurture client relationships where appropriate, actively supporting the acquisition and retention of key Accounts
- Stay updated on all the latest London venues and event services etc – fam and venue visits offer bags of opportunity to really develop your knowledge further
You
- Ideally previous experience working in an events agency, travel or tour operator or DMC running event programmes, but you may have great experience from hotel, restaurant or other hospitality focussed part of the industry and be looking to broaden your role
- Ability to work with executive-level clients to develop customised event programme solutions to meet their needs – and surpass expectations!
- Languages (eg Spanish, French, Italian, Portuguese) highly beneficial, not essential
- Excellent people skills - ability to work flexibly, and build excellent relationships
- Existing experience working across as many of the key logistics areas as possible – event logistics, venues, accommodation, travel & transfers, f&b, activities etc
- Aware of event industry trends and insights, and constantly looking for new and innovative offerings - knowledge and curiosity about London and UK as a competitive business tourism market ideal
- Commerically astute, budget management skills, with excellent negotiation skills
- A master juggler who is great under pressure, collaborative and solution focussed
- Ability to work planning and co-ordinating pre-event, and hands on operationally on-site
- Live event production, experience of co-ordinating entertainment, food & beverage etc are all desirable skills/knowledge
