This international association brings together the leading global bodies in it’s specialist sector in women’s healthcare, advancing the science and practice of it’s communities’ health specialisms. Events are a key aspect of their work – with bi-annual Global and Regional congresses, and webinar programme, in support of it’s aims, bringing together specialists, individuals and organisation. The Federation collaborates closely with the world’s top health, rights and donor bodies, a range of important sponsor organisations and charities, as well as the World Health Organisation and the United Nations.

Role
Working within the Events, Communications & Engagement team, you’ll work as a key member of  the Events team of 4, and alongside their appointed PCO (professional congress organiser) and their marketing agency. This exciting and varied role will see you working on the continued success of their partnerships with sponsors, the marketing of their events, and the co-ordination of elements of the events themselves.  You will liaise with a wide range of global stakeholders externally, internally and with aligned international bodies. As such this is a role that draws on a number of core skills, particularly communication and relationship building, event and marketing project management, and sponsor liaison.  Specifically this exciting role involves:

Stakeholder management

  • Identify, engage and build relationships with key internal and external stakeholders, including Divisions and Committees, Member Societies, industry sponsors, non-profit and partner organisations such as the WHO.
  • Key liaison with Local Organising Committees, ensure the timely administration of meetings and provide guidance to support them in fulfilling their responsibilities while maintaining a positive relationship with HQ, flagging potential risks and roadblocks to the Senior Event Manager.

Event delivery and logistics

  • With the Local Organising Committee and PCO, coordinate the timely planning and successful delivery of social programme events including evening receptions, formal dinners and tours for event delegates and dignitaries.
  • Identify and support, with web and other suppliers, improvements to Congress website site architecture, SEO and functionality, ensuring continuous improvements to UX to help drive the success of the event.
  • Support the development of event websites and mobile apps, ensuring all sponsorship, exhibition and social programme-related information is accurate and complete, and that all design elements are up-to-date.
  • Support the management of the shared event-related inboxes, triaging queries and coordinating responses.
  • Support the delivery of in-person, hybrid and virtual events as required.

Event marketing & communications

  • Co-ordinate event marketing plans, ensuring the provision of timely, accurate and relevant communications that engage international audiences with their events.
  • Collaborating with creative design agencies and other suppliers such as the PCO, coordinate the development of event brand identities and the production of promotional assets, website and mobile app designs, venue signage, swag and merchandise and other event collateral.

Event sponsorship

  • Identify, engage and develop relationships with existing and potential sponsors to ensure continued income and engagement from Congress sponsors, maintaining long-term client relationships and enhancing retention rates.
  • Working closely with the PCO, coordinate the end-to-end planning and delivery of the sponsorship and exhibition journey from outreach and payments to the design and build of the exhibit floor and achievement of all contracted deliverables.
  • Contribute to the development of strategic partnerships between the organization and industry outside of their own events.

You:
We’re looking for an experienced and confident Event Coordinator, with previous experience across varied communications, marketing and event activities, ideally on large-scale international conferences. Excellent communication and organizational skills, strong on interpersonal and relationship building skills, great attention to detail, and would enjoy working as part of a varied team of internal and external stakeholders. It would be ideal if you had experience of working within an internationally focused, membership-led organisation, and experience of organising large-scale international medical conferences and events – ideally with events with 5,000 or more delegates. Specifically you’ll bring:

  • Experience of working directly with sponsors and other partners through engagement and onboarding on events
  • Experience organising special events for senior officials such as formal dinners and receptions.
  • Experience of working with senior stakeholders and decision makers, including academic committees, groups and volunteers.
  • Experience of long-lead event planning and engagement, complex stakeholder logistics, committee liaison and on-site / virtual delivery.
  • Experience of working with international event organisers.
  • Experience of working on varied aspects of communications and marketing for complex, large-scale international conferences and of working on high-level in-person, hybrid and virtual events, harnessing the latest technology and trends to engage global audiences.
  • Experience coordinating multiple stakeholders, in particular external suppliers, to meet deadlines.
  • Strong knowledge of communications and marketing, in particular through digital toolse.g. CRM, website and social media.
  • Excellent interpersonal, writing and communication skills, good negotiating and diplomacy skills.
  • Ability to communicate in French or Spanish could be an advantage.
