Description

Join the brilliant team at this leading media/publishing company, delivering a varied portfolio of 60-80 events each year including awards ceremonies, roadshow conferences, retreat events, dinners, supper clubs, virtual events, forums and bespoke client events!

Who will you be joining:
You’ll be joining an established, successful financial publishing company whose event portfolio is renowned throughout their sector as the ‘must attend’ events.  Events include their own offering including retreats, thought leadership events, dinners, awards, conferences, podcasts, for a professional corporate audience (who can also be a bit lively!) and also client events for major financial corporates, banks etc.

Role
You’ll be working closely with the Head of Events and the Senior Events Coordinator – and will work across all aspects of events, from venue logistics, delegate, Speaker and Sponsor contact, administration and liaison, attending site visits and on site for event days, supplier liaison and dealing with clients and internal stakeholders throughout. You’ll have the opportunity to fast track and develop your skills and experience in a busy events environment, and take ownership of activities and your own events as soon as you’ve shown you can!  …. Specific responsibilities will include:

  • Support the Head of Events and Senior Event Coordiantor in delivery of events as required -   these may include awards, conferences, online events, dinners, supper clubs, virtual masterclasses, monthly podcasts and lunches!
  • Identifying and negotiate with suitable venues directly or through their venue finding agency to ensure the best possible space, rates and contract terms and conditions are secured
  • Sponsor, speaker and delegate administration, venue logistics, event marcomms, co-ordinating judging process for awards events, social media planning for events, onsite delivery, post event follow up
  • Strong customer focus through the development of excellent client relationships with speakers, sponsors and delegates
  • Liaison with event suppliers & event venues during the planning and execution of events
  • Production of onsite event branding including signage, printed collaterals, give-aways, badges and website information – and co-ordination and admin associated with awards programmes and judging panels
  • Work with close cooperation with other internal teams including events marketing, editorial, and sales teams 

 

You:
You’ll be a bit of a rising star, a confident Event Assistant with a ‘can do’ attitude, friendly and professional to fit the culture of the organization and team. You’ll bring some existing office experience, specifically good admin, excel would be great! Ideally already some events experience under your belt and ready to really get your teeth into your next role  (and/or Events Grad) – attention to detail, able to prioritise, would enjoy a busy environment with lots of things going on!  Media/publishing background not essential but a plus! Specifically you’ll bring:

  • Excellent organizational skills, with bags of common sense
  • Some previous work/event assistant experience – ideally 1 year+ in events and/or Events Grad
  • Highly presentable with excellent interpersonal and communication skills
  • Good knowledge of MS Excel, Word, PowerPoint & Outlook – particularly good if you have great Excel
  • Strong work ethic and customer service focus – positive and flexible – strives to surpass expectations!
  • Ability to thrive in a pressurised work environment and remain calm under pressure
  • Excellent time management skills and attention to detail
  • Highly motivated and able to work well autonomously or as part of a team
  • Skills and interest to develop strong relationships with suppliers, clients & event attendees
