Excellent 4 day a week events role at this leading international business/trade organisation, working alongside the policy team to bring together and deliver their commercial conference and masterclass programme - lots of Speaker Management and liaison with senior level stakeholders, alongside project management of events.

You’ll be working in the UK branch of the world’s largest and most influential business organisation. Long established – highly respected – their members are leading global businesses, and at the heart of their activities is their record of fostering open, cross border trade, resolving cross-border commercial disputes and setting best practice international rules for business at the highest levels of global governance, including the United Nations. As part of their activities they deliver a number of highly regarded and important niche sector events through the year, attended by senior level corporate delegates, in person or virtually.Role Summary
As Conference Coordinator, you’ll work closely with the Commercial Director, and will help bring together their 2-3 flagship conferences, and most notably having responsibility for all Speaker Management (working as the interface between the internal policy teams and external Speakers). Events will be a mix of face-to-face and virtual (largest c. 250 in person). They also have a Masterclass/Seminar set of smaller events through the year. Their events are attended by some of the world’s most informed Presenters/Speakers in international business – and a large part of the role is managing this key element of the events, so lots of liaison with speakers of senior level and gaining an understanding of their sector so you can fully and knowlegably support and drive the success of their events! Specifically your key responsibilities:
• To work alongside the wider team (policy and commercial) and coordinate the activities to bring together and deliver the conference and masterclass programme through the year
• To liaise with the respective Policy Coordinators and Committee leadership (who develop the agendas/programmes for the conferences) and help drive these events forward in a timely manner adhering to deadlines
• Reach out to Speakers and confirm participation, manage all speaker processes pre to on-site, including the scheduling of speaker coordination calls and circulating briefs (written by the leadership team) – build relationships and support speakers throughout (ensuring events maximise agenda objectives)
• Help research organisations and individuals online (especially on social media) to identify new Speakers
• Work alongside Sponsorship Manager and ensure the Sponsor agreements/contracts are fulfilled
• All pre-event coordination for on-site event – including logistics, catering, room set-up and– onsite co-ordination (they normally use London-based member/law firm offices/facilities so this is a fairly straight forward in its requirment)
• Membership & Stakeholder Engagement - to be familiar with the member companies and ensure members are informed of the event opportunities and ways to engage
• To maintain relations with the secretariat and other international offices to help promote the conferencesYou:
You’re a highly organised Conference Coordinator or junior Conference Producer, with excellent conference coordination and communication skills, with experience working end to end on event co-ordination for business conferences and events, and ideally with proven experience managing large numbers of speakers, internationally. A Conference production background would be highly advantageous. You’ll have experience of both in person and virtual events. Ideally you’ll have a b2b business events background. Able to multi-task, and work across all aspects of event logistics, and with experience across both in person and virtual events, with the maturity and confidence to deal with senior level Speakers and Delegates. We’re ideally looking for someone who would be interested in the wider subject matter and objectives of the Organisation, so would be fully involved in working as a key part of the team and being a great representative of the Body.
You will also bring excellent communication skills, be a good team player, be highly organised, excellent attention to detail, and be a great events professional!- Graduated to degree level (2.1 or above) or equivalent
- Ideally from a not-for-profit / membership organisation or Government institution
- 3-5 years experience in conferencing (including working with speakers, content and agendas)
- Highly organised with excellent event coordination skills with solid understanding of both f2f and virtual event requirements
- A conference production background would be highly advantageous, with an interest in or an appetite of policy work (so for example reading about international policy relating to sustainability, arbitration, trade finance etc) gaining understanding in the organisations objectives and subject area
The role is part time – 4 days a week, 2 days in the office, £30k (based on a fulltime salary of £37,500) and comes with excellent benefits.
