Event Co-ordinator - (prestigous Venue)

Job Description

Kick off your new year working at one of the most glorious and prestigious London Grade 1 listed venues!  Truly fabulous opportunity for a highly organised Event Co-ordinator to work on very high profile and prestigious events at one of London’s most unique and historical venues.  (3rd January start contract role with potential to roll into perm role in early March)

Very special historical Grade 1 listed London venue – the events team delivery over 500 varied events - high profile corporate events and award ceremonies, concerts, special events, and highly prestigious banquets.  You’ll be working for the ‘commercial’ team – who look after incoming clients and their events…

You’ll be joining the dedicated team who look after incoming clients and their events – they help deliver over 500 events each year, ranging from high profile corporate events and award ceremonies to large charity fundraisers and concerts.  You’ll also organise lunches, dinners and high profile visits.  As main client contact, you’ll be responsible for the co-ordination and detailed organisation of your events, involving liaison with the client, internal teams, and varied contractors and suppliers, management of all event details in the pre-planning and on-site delivery stages.  This is initially a contract role, with the potential of permanent.

Key Responsibilities include:

  • Responding to incoming enquiries/first point of contact for clients
  • Providing detailed advice and guidance include show rounds, about the services and facilities at this unique and iconic venue
  • Organising events working as part of a team and individually depending of the size of the event
  • Attending meetings with clients to develop event arrangements
  • Researching guests lists, issuing invitations and recording responses
  • Placing orders with suppliers, managing provision of their services, and managing costs
  • Develop and manage briefing and operational notes, guest lists, table plans, briefing notes
  • On-site event co-ordination

You’ll be a highly organised, smart and articulate events co-ordinator with existing experience within corporate and/or special events. You’ll be working on some very high profile formal events at this prestigious venue - so you’ll love achieving the highest possible quality levels of event execution, with the necessary exacting level of attention to detail.  You’ll have excellent communication skills to deal with a wide range of people, supported by your very high levels of customer service, maturity and great attention to detail.  Strengths as a team player, excellent interpersonal skills and computer literacy are essential, as is excellent experience co-ordinating relevant event suppliers, internal and external.

Key requirements: 

  • Excellent communication skills, with excellent standard of English, both written and oral
  • Degree level education highly desirable (1st or IIi)
  • Event co-ordination experience (min 3 years) within a corporate or similar relevant sector
  • Varied supplier liaison experience (internal and external) across all aspects of event hospitality, including catering, operations, entertainment, florists etc
  • Experience of working with corporate clients
  • Experience of managing event budgets
  • Smart professional appearance as this role includes working at formal and high profile events
  • Confident, able to cope well and calmly under pressure, tactful and discrete
