Office Manager / PA (Events agency)

Fantastic perm role for a bi-lingual (Eng/French) detailed and multi-tasking Office Manager & PA who enjoys working in a fast paced and small agency environment!

COMPANY

Small but highly regarded and privately owned B2B events & communications agency (with offices around the globe) are seeking an Office Manager & PA for their London office.

ROLE

This Office Manager / PA position is a split role of providing administrative support for the MD/CEO and providing strong support for the office and finance function of a specialist global financial communication and live event agency.

Key responsibilities will include:

  • PA support, admin & diary management for MD / CEO
  • Administrative support to the finance team (processing supplier invoices, filing etc..)
  • Office management (organising office equipment, supplies & refreshments)
  • Coordinating weekly team meetings, distributing agendas & taking minutes
  • Assisting on presentations reports
  • Managing staff files & inductions (including welcome packs for new starters)
  • Screening in-coming calls & dealing with post/couriers
  • Liaising with IT support
  • Filing, systems coordination & ad-hoc administrative duties

CANDIDATE

The ideal candidate for this role will be bi-lingual (English/French) and will already have some experience as an Office Manager / PA.

You’ll need to be super-organised, proactive, dynamic, level headed and problem-solving/solutions focused who is also a self starter who can come in and hit the ground running! Candidates MUST have a solid background of delivering business / administrative support (ideally for a small team / company) and have had exposure to a full range of office management tasks including diary management, PA support, administration, filing, reception duties, handling telephone enquiries, post and couriers, organising meetings & travel, dealing with suppliers, basic IT support, HR & financial admin, coordinating team meetings (agendas, minutes & reports) and general office management.

You’ll need to have a very high standard of written & verbal communication skills (including good knowledge of Microsoft Office software) and be exceptionally well presented, articulate and enthusiastic. You’ll also have the confidence and level of professionalism needed to act as the face of the organisation to clients and suppliers.
