Administrator/receptionist (international legal body)

Job Description

Excellent opportunity to become the office lynch pin as Administrator/Receptionist for this lovely international, not for profit team. To start ASAP!

The Role
Although based on reception and being the first point of contact for clients and suppliers, you will mainly act as administrator for the casework team. Your responsibilities will include updating and maintaining the booking case management system, managing e-mail inboxes, binding, handling case notes.  You will be responsible for the entire delivery process: from placing the orders, arrainging couriers via their business account, to tracking, collecting and distributing deliveries.  

Key responsibilities:

  • General support to the casework team
  • Answering/transferring phone calls
  • Welcoming and offering refreshments to visitors
  • Ensuring the reception area and meeting rooms are welcoming and tidy
  • Office management – stock checking – ordering supplies
  • Providing other ad hoc administrative support as required 
  • Keeping courier/delivery spreadsheets up to date
  • Updating excel spreadsheets
  • Keeping team informed of any delivery delays or issues

The candidate
I am looking for either an experienced receptionist or administrator who is well-presented, organised, confident, friendly and flexible with a real can-do attitude. You will have the confidence to liaise and work with stakeholders over the phone and in person. Excellent communication skills (written and verbal), punctuality, reliability, and the ability to prioritise are important for achieving success in this role.
