Senior Event Executive – (major international expo)

Love working on large, complex expo events?  This is a great role joining the team delivering a major international exhibition – 1 year mat cover – January start.

Leading organisation working within the media production and broadcast sector – they deliver a major annual flagship industry expo which attracts over 55,000 attendees, over 1,500 exhibitors – and which is acknowledged as the major show case and discussion hub for the sector.  This is your opportunity to play a key part in bringing this amazing event to fruition…. You’ll be joining the experienced team who deliver this major international event, and you will be key to the success of the exhibition elements of the project – and what a project!   Over 1,000 exhibitors, across five main areas at a major international venue – plus the show floor features.  A fantastic project to work on – both pre and on-site.  12month mat cover.  Great ops role on a major expo event working with a brilliant team!

Responsibilities include:

  • Working within the wider project team, take responsibility for allocated parts of event, mainly within the exhibition area
  • Oversee project plan, and responsible for planning, co-ordination and delivery of event logisitics including exhibition floor plan drawings, catering, furniture, health & safety and temporary staffing, and smooth delivery of build up and show days
  • Build and maintain strong relationships with stakeholders eg exhibitors, speakers
  • Project manage show floor features from tender to delivery – negotiate with suppliers to obtain best value.
  • Maintain records, plans
  • Manage key relationships, venue, designers, suppliers
  • Liaise with finance to ensure cost tracking, invoices processed etc

You’ll be an experienced Exhibition Ops professional – with a track record of managing various types of event including conferences and exhibitions.  You’ll ideally have experience of working on fairly major expo/exhibition events, with multiple exhibitors and floorplans – Autocad experience very useful.  You’ll have up-to-date H&S qualifications, and experience of managing budgets.
As well as your previous exhibition experience, you’ll be an excellent communicator, a good leader and team player – and enjoy the excitement and challenges of working on large scale events.

Key requirements:

  • Proven experience working on large scale exhibition/expos with multiple exhibitors
  • Used to dealing with exhibition floor plans, and associated logistics
  • Excellent customer service and account management skills
  • Strong IT skills, ideally including familiarity with Autocad
  • Excellent relationship building skills, stakeholder management
  • Confident communicator – orally and in writing, who can engage with senior stakeholders inside and outside the organisation
  • Flexible, proactive, clear sighted, calm and composed
  • Excellent interpersonal skills, enjoys being a key part of a large team
  • Can go on-site for the duration of the event (dates will be supplied during the application process if appropriate)
