Excellent  Event Assistant starter opportunity to join the Events Team of this international membership body - this role offers huge opportunity to learn and grow, giving experience across a broad range of events and really good exposure to the full event process learning from a really great team!

THE COMPANY
Professional membership society who hold over 140 regional and international events each year, from workshops of 40-60 attendees to conferences of 1,000, across Europe, the Caspian & Sub-Saharan Africa.

THE ROLE
As one of 2 Event Assistants in the events team you’ll be providing administrative event support to the team, as they deliver a varied programme of workshops, seminars and conferences internationally. The role offers a great team environment, the opportunity to experience working on a wide range of events, with excellent exposure to further develop your event skills and career, and comes with an excellent benefits package.  The events programme is a mix of virtual and face-to-face in due course. It will be a busy and varied role, made up of a mix of admin, liaison, co-ordination of event related tasks. Key Responsibilities include:

  • Support team on pre-event administrative requirements for events (virtual and face-to-face)
  • Registration management for varied events, conferences, workshops
  • Use of in-house event and registration system (EBMS)
  • Maintain records for database and keep docs updated for event information and requirements.
  • Assist in maintaining records and accurate addresses, telephone, emails, and regularly updating the master file on committees, senior executives, exhibitors, sponsors and contractors, Assist in maintaining records and accurate information for workshops, topics, biographies and meeting statistics, as well as managing presentation submissions
  • Attend meetings and liaison with event committees
  • Perform project related administrative services e.g. mailing of marketing collateral etc
  • Support meetings staff on-site, as and when required
  • Key contact for delegates, members, speakers - respond to all Customer Services enquiries (by email and telephone) in an accurate and timely manner
  • Managing sponsorship/exhibition/marketing deliverables
  • Provide support to the Event Managers as required

THE CANDIDATE
Looking for a brilliant events opportunity, you’ll be highly organised, with excellent IT and administration skills and great attention to detail. Great communication skills, and a great multi-tasker, able to juggle multiple projects with calmness, accuracy and good humour! You’ll need to have excellent command of oral and written English, and good people skills, as well as strong organisational, communication, analytical and numeracy skills.  You are able to work well in a team, and also independently, and be able to liaise confidently with event partners, hospitality industry suppliers, as well as internal and external members of the organisation. You are keen to get your events career under way, and looking for a role that will give you a brilliant opportunity to learn and develop your event skills.  Key requirements:

  • Excellent communication skills, highly organized
  • Computer literate in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, OneDrive)
  • Good numeracy skills, excellent written and spoken English
  • Ability to work on multiple projects simultaneously and meet constant deadlines
  • Ability to work without heavy supervision
  • Ability to travel overseas if required
  • Detailed and project orientated – excellent attention to detail
  • Self-motivated
  • Desirable: Experience with different virtual event platforms and applications (Google docs, Zoom, Swapcard, Mural, StreamYard, Vimeo or equivalent)
  • High level of customer service focus
