Event Manager - (Conferences & Forums)

This dynamic and growing conference company is looking for a detail-focussed and talented Event Manager to join them at an exciting time of expansion.

Company and context:
Our client specialises in creating educational and interactive conferences and events. They work closely with their clients to develop and deliver strategic informational programmes through training courses, conferences and forums aimed at tightly targeted audiences across highly regulated industries (eg healthcare), addressing the needs of today’s leading executives internationally through timely and specific content. The event team work closely with the content production team, to ensure their events are recognised as industry leading in terms of delivery and content.

Role:
This is a logistically focussed Event Manager role, working internationally across Europe, Middle East and Asia. Currently their events have moved to virtual platforms, but will be moving in due course to a mix of virtual, hybrid and live. The Event Manager will be the project manager across the full range of event delivery formats, liaising internally with sales and marketing teams, as well as externally with varied suppliers and clients.
Key responsibilities include:

  • Liaise with clients to find out event requirements/briefs
  • Produce detailed proposals for events (including timelines, venues, suppliers, staffing and budgets)
  • Research and negotiate with venues, suppliers and contractors
  • Manage and co-ordinate suppliers and all event logistics (eg venue, catering, travel)
  • Liaise with sales and marketing teams to publicise and promote the event
  • Manage all pre-event planning, organising speakers and delegate packs
  • Web updates, and handling delegate, client and sponsor queries
  • Manage event on the day, including staff and supplier briefings and management
  • Post event reconciliation and evaluation

You:
We’re looking for a brilliantly organised Event Manager, ideally with 3-5 years experience of working in the events industry, experience of working internationally, great negotiation skills, strong project management ability, problem solving etc. Experience in both live and virtual events is essential for this role. You’ll be a high performer who thrives in high pressure, deadline driven environment who takes massive pleasure from working in a great team and delivering a great event.  Specifically we are looking for someone who has:

  • At least 3-5 years + experience of working delivering events
  • Experience in virtual events is a must
  • Experience with Zoom, Teams and/or other online platfoms
  • Event logistics and co-ordination skills – experience and knowledge of varied event suppliers/venues etc
  • Excellent supplier negotiation skills
  • Knowledge of working with CRM database
  • Budget and project management skills
  • Experience of working alongside sales & marketing to promote the event to relevant high corporate audiences
  • Excellent communication skills, great attention to detail, team player able to work independently, excellent customer focus
