Job Description

Wonderful opportunity for a highly organised Senior Event Co-ordinator / Event Manager to bring their brilliant event management and interpersonal skills to this wonderful children’s charity - and deliver their outdoor 'family' funday events as well as individual bespoke experiences for sick children and their families.

THE ROLE
You’ll be part of an amazing team that create and deliver experiences for seriously and terminally ill Children.  As Event Co-ordinator you will have particular responsibility for the planning and delivery of a couple of large annual outdoor family events (700–1000 pax), ensuring the smooth running of the events including post event reporting and correspondence.  When not workng on these events, you'll work on delivering unique personalised 'experiences' for individual children, from the initial submission of the request, through to it's on hte day fulfillment - co-ordinating and administering all aspects of planning, development and delivery, focussing on creating once in a lifetime experiences for the child.  You’ll liaise with referrers, medical professionals and families to assess requirements of each project, and then think outside the box to develop creative solutions, and plan and co-ordinate the end to end event delivery, co-ordinating all logistical, talent and supplier aspects, as well as liaison between all parties.  You’ll also be responsible for the meticulous administration of your projects.

Key Responsibilities:

  • Co-ordinate all aspects of the charity's annual large 'family' day events  (700-1,000 pax) 
  • Event supplier management, able to develop and maintain effective working relationships with suppliers and volunteers, H&S
  • Work on individual experiences - thinking ‘outside the box’ to develop creative solution, bringing that ‘wow’ factor to the experience
  • Planning/co-ordinating end-to-end process of requests
  • Preparing and managing budgets, ensuring supplier payments
  • Collaboration with team to assist in identify and maximising fundraising and PR opportunities
  • Project follow-ups, sharing feedback, creating post event reports
  • Maintain systems to ensure the smooth running and administration of projects

THE CANDIDATE
You’ll already have proven event management skills developed across a varied range of events, and ideally have worked on similar large scale outdoor events, though this is not essential.   You'll be used to dealing with varied event suppliers, pre-event logistical co-ordination and on-site event planning, ideally with good H&S knowledge.  You'll also enjoy working on smaller 'bespoke' experiences.  You’ll have the appropriate maturity, diplomacy, and excellent interpersonal skills to liaise appropriately with all relevant parties.  Great attention to detail – you know how to dot the ‘i’s and cross the ‘t’s ensuring that delivery of your events always surpasses expectations.  Useful previous experience also includes liaising with varied suppliers, on-site event management, good H&S understanding, event travel logistics, and liaising with celebrity agents and publicists.  

Key requirements:

  • Existing event management experience (minimum 2-3 years), with excellent event ops skills, including on-site management
  • Experience working on large outdoor events (c. 700 pax) useful but not essential
  • Strong project management, organisation and co-ordination skills
  • Excellent event co-ordination skills, and experience of managing external event suppliers
  • Diplomatic and confident in building and maintaining effective working relationships with people at all levels
  • Experience of developing creative event solutions
  • Excellent communicator (written and spoken) with superlative interpersonal skills
  • Negotiation and budget management experience
  • Ability to build a team and rapport, whilst working to key deadlines and budgets
  • Hardworking and enthusiastic, team player
  • Advanced PC skills
