Conference Manager – Maternity Cover (asap start)

Job Description

Excellent role for an experienced Conference & Events Manager – working with varied bodies (Associations and Societies) to deliver their member-focussed international event programmes!

Client and Context:
Our client is a well established and successful conference company providing full event support services to a client base specialising in Association and Membership body clients – across varied sectors from. Initially required to cover maternity leave, the Conference Manager will join an existing team, and be the main point of contact for clients, and be the lead in providing a full event management service to your clients, organising in-person, virtual and hybrid events.

The role:
Working directly for your clients in close collaboration with the Association/Society’s stakeholders (including internal and external committees) you’ll have lead responsibility for understanding and fulfilling their event objectives and requirements – across full conference & event management, exhibition and sponsorship management, depending on their needs.  You’ll work alongside a brilliant team of other Conference Managers in an expert and supportive team.  Specially your role will include:

  • Liaising with clients to ascertain their precise event requirements
  • Managing the overall delivery of in-person, virtual and hybrid events
  • Managing conference programme and abstract submissions
  • Speaker management including liasing with speakers and special guests
  • Selling sponsorship/stand/exhibition space to potential partners/exhibitors
  • Planning marketing/promotion of events to attract delegates, exhibitors and sponsors
  • Oversee event branding and collateral production
  • Provide secretariat service for conference committees, producing agendas, minutes etc
  • Manage small team on project basis, including a conference administrator and temporary event staff
  • Venue, supplier management and negotiation, logistics etc, all event scheduling and planning, and end delivery (virtual/face2face)

You will need to have proven experience in line with role responsibilities listed above – ie you’ll have good, solid experience of end to end delivery of conference and aligned exhibitions, ideally for an Associations client base (either having worked in-house or as a supporting agency) and have experience across face2face and virtual events.  Experience of dealing with Committees, conference programmes and abstract submissions is also pretty key for this role.

Other things to note:

  • Maternity contracts (both part-time and full-time option are currently available)
  • They are looking for someone to start asap (to enable a good handover)
  • Currently working remotely, this role will in due course require a return to the office, which is South West London based.
  • This role would suit someone with a good experience from within or working for Associations (and perhaps would particularly appeal to someone with that background looking to make a move agency side?)
