Job Description

Line management and event delivery role in this busy events team, supporting the Head of Events, across a varied event programme at prestigious Royal College within the healthcare sector.

Organisation & Context
This is a prestigious professional body for a specialist area within women’s healthcare. The events team (of 8) are responsible for the organisation of all the College’s conferences, courses and events. They deliver around 120 events each year, internal courses and conferences, webinars, franchised courses and an annual World Congress. 

The Events Team:
The team are involved in all aspects of event delivery: inviting speakers and chairs, publicising each event, registering delegates, mounting a technical exhibition, gaining sponsorship, organising social events and all the event logistics (venue,suppliers,briefings,schedules etc). For virtual events, this also includes the creation of the virtual event platform, testing, platform demonstrations and coordination of pre-recording of presentations. For larger external events, external professional congress organisers are appointed and managed. Currently all events have moved to virtual, but a gradual return to a mix of face2face, virtual and hybrid is envisaged, and hands-on experience of virtual events is essential for this role.

Role:
This is a 12 month mat cover role, ideally starting asap to enable a good handover.  You’ll be working to support the Head of Events, and alongside 2 other Event Managers. Your role has the more senior responsibility of also managing the Event Administrators supporting the team across all events. Specifically your role will include:

  • Assist with the day-to-day management of the Events team, and direct line responsibility for the 3 x Event Administrators, allocating their support to the 3 Event Co-ordinators across the event programme
  • Have responsibility for the delivery of specific events, both face-to-face and virtually
  • Deputise for Head of Events when required (including monitoring appraisals etc)
  • Provide guidance and support to other departments on virtual event best practice, leading testing and development on College virtual events platforms – main contact with AV team to ensure virtual events and pre-event recordings are supported
  • Overseeing implementation of new college-wide procedures, projects or technology within the team (as and when required)
  • Organise and have responsibility for an allocation of inhouse courses and conferences
    liasing with the clinical organisers and/or specialist societies
  • Oversee creation and approval of programmes, speaker liaison, oversee marketing, web updates, budget preparation etc

You:
You’ll bring experience from a similar role ideally, and will good experience on virtual events, to complement your more tradional events background. Line management/resource management skills are important in this role.

  • Significant experience of full end to end conference and events management (end to end) – including speaker liaison, exhibition/sponsor, website, delegate management, event promotion, event logistics (in house and external)
  • Experience of virtual event delivery as well as face2face – and very comfortable in the virtual space – able to test and review varied platforms in this arena
  • Experience of producing and managing budgets
  • Line Management experience – including development process guidance and training peers/team members
  • Experience of working in a professional members association/society/body is desirable – as is some experience of the medical field and/or education (desirable, not essential)
  • Excellent communication and interpersonal skills, adaptable, positive and ‘can do’ approach
