Event Executive– (charity/professional membership body)

Job Description

The Company 
Fabulous charity who work at the heart of the advertising/marketing sector. Their objective is the support, development and wellbeing of professionals in their exciting but demanding sector – offering expert help, advice and career guidance - career coaching, networking opportunities, grants and masterclasses. A key part of this is their varied events programme – and, working alongside their Fundraising and Partnerships team they have an expert Events Team to deliver this.  Excellent working culture and great role!

The Role 
You will join an Events Team of 3 – and be working on a very varied range of events.  Your role will be to support the Head of Events and the Event Manager to successfully deliver against a cohesive fundraising and engagement strategy for the organisation, providing event administration, coordination and event management support across a portfolio of annual events, and lead on some of the smaller ones. You’ll also provide general office support as part of the wider office support team.

Key responsibilities:

  • To support the Events team to develop and deliver a range of sporting, socialising and networking events
  • To provide administrative and organisational support across all elements of event activity with day-to-day tasks such as guest list compilation, booking form processing, event administration, diary meeting and planning, database updates and post event evaluations.
  • To manage and lead on smaller events
  • To help drive events through a range of marketing activity.
  • To manage supporter queries, providing high levels of care across email, phone and face-to-face meetings with all external partners and clients.
  • To liaise with a range of external supporters, stakeholders and third party suppliers to deliver successful fundraising and engagement initiatives
  • Providing support to the Event Manager with general financial administration relating to event invoicing and keeping up to date with payment queries.
  • Ensure high standards of operations across procedures and data recording.

Great administration and co-ordination skills – experience of event administration, manging guests lists, dealing with suppliers etc., databased experience – Raisers Edge very useful.  Accurate, great attention to detail, responsive and ‘can-do’ attitude – love working on events and supporting a team!
Essential criteria:

  • (Minimum)Two years events administration experience from a target driven event setting
  • High levels of organisation and accuracy across administrative and coordination tasks with a strong attention to detail.
  • An accurate and timely record keeper.
  • Great interpersonal skills including strong verbal and written skills.
  • Ability to work under pressure and deliver to tight event deadlines.
  • Computer literate with experience with a very good understanding and working knowledge of databases and Microsoft Office 365.
  • A commitment to working within company's stated values and a desire to work for a charity that supports the advertising industry’s wellbeing.

Desirable criteria:

  • Raiser’s Edge database experience.
  • Evidence of continued professional development.
  • Previous client management experience to Account Executive level or equivalent
  • Good working knowledge of the advertising and media industry including its changing landscape and demonstrable understanding of the structure of agencies and media owners.
