Fabulous opportunity for a brilliant Event Project Manager to work as part of the lead team on a number of major public events at this major London Body – including a world famous mass participation charity fundraising sporting event as well as a range of other exciting public events. (Please note this is a 12 month cover).

Context:
The events team at this iconic London body manage a number of high profile public events – and need a brilliantly supportive Event Project Manager to join them on a 12 month mat cover. You’ll be working across a diverse range of public outdoor events – including a major mass participation sporting event, and the Charity Preview night for a major seasonal event. Your role would be across event delivery, project management, and communication – and all events include varied charity and sponsor partners so experience on the varied requirements of fundraising events would be highly beneficial alongside excellent event project management skills and experience.

Role
You’ll be working closely with the Senior Event Manager and will take on varied activities and project areas as needed, across stakeholder liaison and co-ordination and event delivery. Your role will be across varied elements of:

  • Communication & Relationship Management – building collaborative relationships with event agencies, promoters, stakeholders, commercial sponsors, site contacts, charities – work closely with internal marketing and communications teams
  • Event Operational & Project Management – working closely with the Senior Event Manager across all elements of event ops and wider project elements particularly in the run up to the event (see below)
  • Budget Management, timeline management, supplier and general event co-ordination activities, post event reporting

And specifically your responsibilities would include:

  • Work to support the Senior Event Manager across various aspects of a Major Mass Participation event programme, and managing specific elements including:
    • Liaison with varied key external client stakeholders/agencies/bodies as regards complex event requirements/planning/delivery as directed by the SEM
    • Event manage training workshops (for Charities, Sponsors, Runners)
    • Liaise with key Charity partners, communications liaison, facilitate webinars etc
    • Main contact for production/co-ordination of all event merchandise
    • Main contact for complementary and VIP runners
    • Main contact for overseeing Registration (agency supplier)
    • Work closely liaising with the Agency event delivery partner – attend meetings and manage ad hoc projects
    • Management production timelines, meetings and delivery of event requirements
    • Attend Ops Meetings alongside SEM and action outputs etc
  •  Be the Project Lead for a Charity Preview Night for another major event
    • Be main contact for delivery of Special Event - liaise with charity, sponsor and major donors etc
    • Lead on the communications and marketing, in liaison with internal marketing team
    • Liaise and co-ordinate closely with the external Event Organiser and manage and co-ordinate all elements

You:
We’re looking for a talented, pro-active and experienced Event Project Manager – who brings excellent event co-ordination and management skills, across production and logistics – and is strong on liaison with varied stakeholder partners (charities, sponsors etc), can manage communication timelines and activities, and deal with varied suppliers and agencies across varied event production elements.  We specially are looking for someone who has the experience to hit the ground running, with knowledge, confidence and flexibility, liaising with a broad range of internal and external suppliers throughout, through all stages of the operational delivery of major events. Charity / fundraising event experience is highly beneficial. Pre-planning, manage production/stakeholder meetings, and keeping schedules, decisions and actions on track. As comfortable supporting other members of the team as taking responsibility for your own elements. Specifically you’ll bring:

  • Solid experience of event delivery, ideally across varied events – production and logistics –outdoor public events would be ideal – and working on major charity fundraising events is highly beneficial
  • Skilled at co-ordinating and managing varied stakeholders/communication timelines and activities – ideally including charities and major corporate sponsors
  • Experience working with varied suppliers – ideally including merchandise, registration (Rijuko or similar public event registration system), event agency
  • Able to manage event projects, production meetings, deal with varied external bodies
  • Able to comfortably support SEM as well as taking full ownership for project areas as directed
  • Excellent communication and interpersonal skills, flexible, excellent attention to detail, great team player
