Experienced, savvy Senior Event Manager needed to join this Global Communications Agency, to take over the planning and delivering their varied international internal events programme, for a minimum 12 month mat cover.

The company is an exciting one - a long established and highly regarded global communications firm, which partners with major businesses and organisations worldwide to evolve, promote and protect their brands and reputations. With global offices, and an enviable reputation, their internal and external events programme is key to reinforcing their position as a leader, and thought-leader, in their field.  NB: This is a 12-month minimum maternity cover role and the successful candidate will need to be available to start asap for onboarding and handover due to two large upcoming industry events in May (WEF in Davos, Switzerland) and June (Cannes Lions in Cannes, France). In this role, it is imperative that the event manager must be available for travel to both these industry events. 

Working in their marketing team, the Global Events Manager will take responsibility for the execution, planning and production of their global meetings and industry events programme, which aims to maintain the firm’s brand and reputation, and support its growth strategy and employee engagement. These events will be a mix of virtual, hybrid and in-person formats (approx. 3-5 per month), from a global address to all employees from the company’s namesake founder, to external thought leadership events with prestigious speakers and high profile guests, to attendance and VIP programmes at major industry events. In this role, you will be responsible for managing the design, delivery and implementation of events from concept to completion through to performance analysis, working closely with internal Stakeholders, inhouse creative teams, and external event agencies and suppliers. Their events are known for being slick, polished and stylish, so you’ll have experience of ensuring the successful delivery of on-brand messaging and format.  Key Responsibilities include:

  • Manage and co-ordinate the Company’s global events programme from concept to completion
  • Organise and co-ordinate all aspects of their b2b and employee event and production logistics including technical production, guest invitation and attendance process, programming, content, speaker management and all event collateral
  • Support on-the-ground activities at two major in-person conferences, including the World Economic Forum in Davos, Switzerland and the Cannes Lions Festival of Creativity in Cannes, France, to coordinate with event production, catering and venue partners; manage guest lists and speakers; develop branding collateral as needed
  • Project manage event from concept to completion, including managing budgets; suppliers; guest list management; creating and maintaining project plans; and internal stakeholder management
  • Speaker/guest liaison including management of VIPs
  • Working in tandem with their in-house production team to produce studio-quality virtual events, consistently researching how to upscale productions
  • Coordination with their global CRM lead on invitation management using HubSpot
  • Working proactively with internal stakeholders to coordinate attendees, guest list management, invitation process and post-event communications
  • Collaborating with both in-house and external designers, to develop and produce collateral to support events for internal and external audiences
  • Full post-event analysis and collation of attendee feedback, financial administration and budgetary management
  • Oversee ‘best practice’ for all events, staying on top of trends

We are looking for an experienced and savvy Event Manager, with excellent experience working across varied corporate events either inhouse or agency – experience working for a creative media orientated brand is highly advantageous, as is working within a marketing team, and/or to brand/marketing objectives. As well as exceptional face-to-face event planning and delivery experience, it is important you bring strong virtual event experience, particularly with the ability to ensure events are designed with flair, creativity and sophistication in line with the company ethos and brand. Being able to manage high level speakers, and be a calm and accomplished on-site lead for important events is also key. Specifically you’ll bring:

  • Excellent track record of delivering varied events internationally
  • Virtual event experience as well as international face to face
  • Strong stakeholder management skills at all levels of the business
  • Outstanding organisational skills and an impeccable attention to detail
  • Excellent written and oral communication skills
  • Friendly and approachable, with a positive and flexible attitude to work and working hours (London/New York)
  • Understanding of changing events industry landscape, technical and production approaches, with a keenness to identify new ways of working
  • A propensity to easily picking up and using digital event platforms (i.e Zoom, Microsoft Teams, Vimeo, HubSpot, Quicklink, etc.)
  • Strong interpersonal skills, working autonomously and as a team
  • Ability to use own initiative whilst working to tight deadlines in a demanding environment
  • Advanced administration skills, including Microsoft Office skills including Teams, Word & Excel
  • Experience of using a CRM for events, such as Microsoft Dynamics, HubSpot or Marketo
