This is a fantastic opportunity for an Event Coordinator with good operations, banqueting and event management experience to take a step up the career ladder and join the in-house team working for a wonderful London venue and private members club!
The Company
Historic London venue set in beautiful grounds with an array of stunning functions rooms, conservatories, terraces and lawns offering members and their guests glorious surroundings to hold elegant social events, club activities and functions.
The Role
Reporting to the Events Manager, this Senior Event Co-ordinator role will see you working as part of the wider membership & house events team on the meticulous planning and delivery of a range of social & club events for members and their guests. Liaising with a number of internal (and on occasion preferred external suppliers) you’ll be organising indoor & outdoor events and activities such as dinners, receptions, social & club events (bridge, chess, arts, sports, wine & fine dining etc), lectures, film screenings, debates and talks as well as parties, fetes and balls for numbers ranging from 10 – 5000 pax.
You will also work closely (and well in advance) with the club committee and all the different individual club secretaries to put together the annual events calendar and the various weekly club events. This will include careful juggling of dates as well as rooms, terraces and suites to ensure that the calendar offers members and all the different individual clubs an interesting, varied, exciting and fairly distributed programme of events and activities.
As well as organising events your role will also include clerical and administrative duties such as minute taking, filing, reporting and database management along with the production of detailed planning schedules, reports and function sheets.
There will however be an element of creativity attached to the role as one of your responsibilities will be to come up with ideas for new and topical events that reflect or piggy-back what’s “hot and happening” in London such as key exhibitions, festivals arts, sport and cultural events.
About You
You will be an impeccably well presented, polished, articulate and highly organised individual with exceptional communication and face-to-face people skills and strong event management & operations experience ideally gained from working venue-side.
In your last role you’ll have worked closely with internal teams and suppliers (catering, operations & facilities) to deliver a range of indoor & outdoor events.
Excellent written skills with experience of accurate minute taking is essential and you must have enthusiasm and energy coupled with charm, diplomacy, tact, an abundance of patience and a great sense of humour!
Key candidate requirements include:
• Experience of planning & delivering a range of events
• Strong operations (banqueting & hospitality) experience
• Excellent customer service skills
• Keen attention to detail
• Superb administration skills (inc filing & database management)
• Accurate writing and minute-taking skills
• Ability to work as part of a team
• Good negotiating skills
You’ll need to be willing to work evenings (approx 2 evenings per week) and should have a strong interest in (and passion for) London life and all the latest events, festivals and exhibitions,
