The role of the office support professional is developing all the time - and not least when it comes to organising Christmas. According to a recent survey of our office support candidates, over a quarter are responsible for organising the Christmas party and almost two thirds have some involvement in sourcing and choosing corporate Christmas gifts for clients. With the festive season just around the corner, if your company hasn't planned anything then it may be a good chance for you to take ownership of a Christmas project and show just how good your planning and organising skills are. And of course, have a bit of fun while at the same time impressing your boss! Today's support staff are multi taskers who can have responsibility for office management tasks such as maintenance and managing contractors, organising events and conferences, project management and hiring staff as well as marketing, HR and presentation planning. Consequently the traditional office support position can now be much more of a stepping stone to a line role. Getting a foot in the door is often the key. Temporary assignments, for example, can be a good way to do this as you may be given the opportunity to realise your potential, once your interest in other areas has been expressed - at the very least you will have gained transferable organisational and computing skills. The role of the secretary, PA and Administrator has changed - roles are much less clearly defined and there is far more scope today to develop careers in other areas. Employers are increasingly looking for wider and more varied skill sets - skills that are easily transferable into junior and middle management.

Ageism legislation - debunking the myths

The long anticipated age discrimination legislation is finally here - and with it a whole raft of myths surrounding what can and can't be done. There are obviously a few "grey" areas (excuse the pun) - particularly around the use of 'ageist' language in recruitment advertisements and until there is some definitive case law established, it's wise to err on the side of caution. In the meantime, we thought it was timely to debunk some of the more obvious myths:

Myth: The new laws have been brought in to protect 'older' workers.
Fact: Although much of the press coverage has centred on 'older' workers, discrimination on the basis of any age - whether that's 16 or 65 - will be illegal.

Myth: The legislation only applies to the recruitment of new staff.
Fact: It is important to appreciate that the law covers the whole employment relationship including recruitment, training, promotion, retirement and redundancy and applies to all workers.

Myth: I can recruit someone who is going to fit in with the profile of my existing team.
Fact: Just because you have a young team does not mean that you can recruit the same sort of age profile on the basis that he or she will "fit in".

Myth: The legislation has been introduced because of meddling do-gooders in Brussels.
Fact: The UK has an ageing workforce - soon there will be more people over state pension age than under the age of 16. Additionally the UK has under performing pensions and there is now a general acceptance of the need to work longer.

Developing Event Talent - "The chicken and egg scenario"

We all know that the event management sector has really come of age in recent years and that events have become ever more sophisticated - as has the skill sets that are needed. The events management sector is now a true profession and consequently companies have to start being more innovative in the way that they develop and nurture talent. One of the ways that we feel this could be developed is through a wider use of the work placement scheme throughout the industry. In the main, in order to begin a career in event management, you need experience - and to get experience you need a job - it's a real chicken and egg situation. Take the example of Naomi Venables who has worked in the live events sector for 24 years and has been Head of Creative Production at many of the major agencies. She now runs a training consultancy called "Simply Communicate" for the events sector and agrees with Regan & Dean that work placements and continuous training has to be the answer. "When I was at college I had a work placement at a leading events agency and have never looked back. It was an awesome opportunity to watch the experts at work while having minimal responsibility for delivering anything!" She also agrees that in order to develop skills and nurture talent, then on going training is vital: "While the majority of learning happens 'on project' you cannot underestimate the value of giving your teams time out to learn anything from basic skills (e.g. showcalling, how to run effective rehearsals, jargon busting, writing effective contact reports, presentation skills etc) right through to more advanced skills developed through role play or tutoring over a period of time." Offering continuous training to help people develop their skills not only makes good business sense - it's also a great recruitment and retention tool. Whichever route is taken, it works best when the trainer and the agency work together to create a tailored course (rather than off the shelf) - whether that be external or internal training. The investment will undoubtedly benefit the individual, the company and the events industry as a whole.

Digital and online marketing - it's a talent war

A recent report in Campaign magazine warned that talent shortage would be the biggest barrier to growth in the digital age as the dotcom crash of a few years ago meant that many companies put the brakes on digital until fairly recently. According to recent figures from Yogi, UK consumers now spend an average of 23 hours a week online which has resulted in traditional media budgets being revised down and internet marketing budgets being revised up. Many companies are consequently seeking strategic digital partners to deliver ambitious on line international marketing projects. The result? A huge growth in online and digital marketing and the resulting need for individuals with the right sort of experience. With a reported 60-70% annual growth in online and digital over the past couple of years, marketing agencies need to be looking at training and developing their staff in the light of the digital explosion - and for all you marketing professionals who have digital and online marketing experience - the world really is your oyster. Boss the boss

In our last newsletter we covered the transition to a management role - but what about when you need to manage your boss? If you are having problems getting your manager to buy into your ideas it may be that you are failing to communicate with him or her on their own terms - in other words - you're failing to "manage up". No matter what your position in the company, you need to speak the same language and to focus on the factors that matter to the person you want to influence. This is essential to career development success generally as at some point, you'll come across a boss, a colleague or a client who may be difficult to relate to or influence. Here's Regan & Dean's top tips on managing up:

  • Understand your manager's objectives - and how they fit into the company's overall goals.
  • When presenting ideas, include your manager's goals and objectives - usually those that will improve the bottom line - and ask yourself how your ideas will benefit the team, the company and your manager!
  • Don't commit career suicide by not knowing what your manager's pet hates are - being late, sloppy spelling, rude jokes etc.
  • Don't go to your boss with a problem if you haven't spent time out thinking of possible solutions. It will impress your manager if you go to them with a tricky issue and then suggest ways to resolve it.
  • Use a human touch: Whether you love them or hate them, bosses are people too. They have bad days, they worry about their personal lives. Don't assume that every bad mood or snappish remark is really about you.
