Job Description

Are you a highly-organised Events Co-ordinator looking for a unique opportunity to work on very high profile and prestigious events at one of London’s most unique and historical venues? This is an exciting role for an enthusiastic and motivated candidate to join this busy events team!

 

The Company

The events team at this prestigious organisation is responsible for organising a remarkable range of events at this very special historical London venue - used for high profile corporate events and award ceremonies, concerts, special events and banquets.

 

The Role
You’ll be working in a dedicated events team of 9 who specialise in managing and producing the busy Private Events schedule of this highly prestigious Grade 1 listed historical London venue. The team deliver over 500 events (for up to 700 guests) each year, from very prestigious formal events for royalty and heads of state, to glitzy and glamorous ones. A key part of your role will be getting to really understand your clients, and their expectations, and being able to communicate these to the wider team, and deliver this on the day.  You’ll also take responsibility for delivering a range of your own hospitality events and dinners, managing guests lists, arranging all catering, environmental design and suppliers, and running the event.   You’ll be joining a vibrant and growing team, proactive and dedicated.  A key part of the role will also be to maximise the use of the venue with marketing and relationship building activities.

Key Responsibilities

  • First point of contact for client enquiries, advising best use of venue, and conducting site visits for clients and suppliers
  • Work with Events Manager to maximise use of venue, developing and maintaining links with existing and potential users, and managing venue calendar
  • Manage diary booking system, managing contracts, risk assessments, invoicing etc.
  • Undertake all pre-event activities for incoming events (client and supplier site visits, identifying and resolving issues, preparing function sheets and briefing notes, supplier management, client management throughout)
  • Manage all elements of in-house events, from researching guest lists, issuing invitations, managing suppliers (catering, floral, entertainment, security) and seating plans
  • Officiating at your events
  • Post event reconciliation and administration

About You

You’ll be a highly organised, smart and articulate event co-ordinator with existing experience within corporate events. This is a very prestigious venue with some very high profile formal events amongst its activities, and top end clients - so you’ll love achieving the highest possible quality levels of event execution, with the necessary high level of attention to detail.  You’ll have excellent communication skills to deal with a wide range of clients, supported by your very high levels of customer service, and great attention to detail.  You’ll be passionate about delivering flawless events, and enjoy promoting the venue and unique experience that your venue offers.  You’ll have the personal skills and confidence to offer your clients a professional and consultative approach to their events, and the expertise to ensure the delivery is brilliant.
