Event Organiser (large scale Awards event)

Job Description

Looking for a confident and outgoing Event Coordinator / Event Manager with experience of organising awards & black tie gala dinners for up to 600+ guests!

ROLE

An exciting 6 month contract (starting October 2017) for an Event Coordinator / Event Manager that will see you managing a glittering black-tie gala dinner & awards evening held in a high profile central London venue for circa 700-800 senior business and industry guests from across the telecoms sector. This is a well-established event that has been running for many years and the organisers are looking for someone to come in and pick up on everything that is currently in place and see the event through to successful delivery. The venue, date and format is locked in and the sponsors are nearly all confirmed so now it’s a case of contacting award entrants & nominees and all previous attendees / guests to get them to confirm their attendance, book & pay for their tables and then drive the entire forward in terms of event project management, event logistics, venue liaison, supplier management (caterers, AV& production, florists etc..), event collateral design & production, sponsor deliverables, branding, theming & decoration, speaker & presenter coordination, financial administration & budgeting, seating plans, guest lists, on-site briefing notes & running orders, staffing, award prizes, set-up & de-rig, on-site event management and post event reconciliation.

CANDIDATE

We are looking for an outgoing, bright and incredibly switched-on Event Organiser with circa 1-3 years’ B2B events experience  - black-tie awards experience ideally (but candidates who have managed full-seat plan gala dinners for in excess of 500-600 guests will also be considered).
This will be a stand-alone role so you’ll need to be a strong event organiser who can work on their own initiative with minimal supervision and be someone who has the confidence to pick up on good handover notes and then hit the ground running to drive forward and deliver the event.
You’ll need to excel in detailed planning and organization, have excellent administrative experience (must be able to use Excel for spreadsheets, guest lists, dietary requirements etc), a good telephone manner and excellent communications skills.

You’ll need to be able to encourage table bookings via phone and email and should be able to pick up on everything once a table has been booked/confirmed (ensure booking forms are complete, obtain correct invoicing details, chase unpaid tables, dietary requirements, guest names etc..)

Overall you’ll need to be a good events all-rounder who can handle the following:-

Event & awards logistics

Venue liaison

Supplier management (caterers, production & AV, florists etc.)

Working with designers on marketing collateral

Managing guest list and seating plan for circa 800+ guests

On-site set-up & de-rig

On-site event management

Post event reconciliation

This is a fantastic 6 month contract for a confident, outgoing and super-organised Events Coordinator / Event Manager with experience of planning and delivering large scale awards & black tie gala dinners!
