Job Description

Become part of this friendly and supportive team delivering a varied programme of events at this leading prestigious professional body within the medical sector – great opportunity to use your excellent event co-ordination skills!  (1 year mat cover)

Prestigious professional membership association within the medical profession – promotes and advances education, research and communication within it’s specialist field.

Role
You’ll be working in an events team of 7, who deliver over 60 events each year for their expert members – ranging from major conferences (350-1000) to specialist seminars, social events, industry exhibitions, scientific and regional meetings.   As Event Co-ordinator you will have ownership of your own ‘core topic’ programme of events – 14 1-2 day regional events (approx. 100 professionals at each).  That’ll be yours to look after. You’ll also work with the team on larger events, where you’d take ownership of a particular area eg Speaker Management, as well as supporting your team members generally.  The team is made up of a head of events, 3 co-ordinators, and supported by administrators, so it’s definitely a great team effort to deliver this busy and prestigious event programme.
Responsiblities include:

  • To deliver allocated events – responsible for all logistics, co-ordination and administration
  • Manage the budgets for your events, invoices and financial reporting of your events, manage supplier contracts
  • Manage all schedules relating to your events, and relevant communications, including delegate marketing and registration communications
  • Work with specialist internal and external society contacts on the event, supporting the relevant committee members, speakers etc
  • Co-ordinate design and content of relevant published materials (including electronic/website information/App) for forthcoming events
  • Supervise more junior members of the team in relation to the events that you work on
  • Use CRM
  • Liaise with Speakers and Delegates, and Sponsors where appropriate

You:
You’re a great event co-ordinator, with proven end to end event management skills, covering all logistics (venue, travel, accommodation, catering, supplier contracting), delegate and speaker management, production of relevant event communications.  Ideally you’ll have had experience working in a professional membership body, and with committees/stakeholders, either in an Association, Charity or Corporate environment.  You’ll like to have ownership of your own meetings, but must also be a team player who enjoys working with and supporting others on a larger event programme.

  • Good, solid Event Co-ordinator, with proven end to end event management skills (min 2-3 years event experience which must include covering delegate, venue, speaker, logistics management)
  • Good interpersonal and communication skills, to deal with professionals within the medical sector
  • Educated to degree standard or equivalent
  • Experience working in a non profit environment desirable but not essential
  • Excellent administration skills, strong IT skills, sound knowledge of MS Office application
  • Confident user of database/crm and internet
  • Presentable, confident, supportive team player – able to deal with people at all levels with tact and diplomacy
  • Thorough, excellent attention to detail
  • Enthusiastic, and able to work as part of a team
