Event Co-ordinator (membership organisation)

Job Description

Fantastic permanent job vacancy in for an Event Logistics Co-ordinator with an association background and experience of organising B2B conferences, seminars and live events!

COMPANY

Global membership organisation with a strong events team who deliver a range of commercial and non-commercial events for members, stakeholders and industry leaders.

ROLE

Reporting in to the Conference Logistics Manager and working with a couple of other Event Co-ordinators you will be working on the planning and delivery of a range of pre-agreed (non-commercial as well as income generating) conferences, dinners, awards, forums, knowledge transfer and networking events across London the South East and further afield internationally for numbers ranging from 20-500pax.

You will also have sole responsibility for the full event management of this membership organisation’s wide-ranging seminar programme.

The role is heavy on the event administrative side and will therefore suit someone who is meticulously organised and process-driven BUT there is considerable scope to grow and progress within the company for candidates with bags of initiative and “get up and go” so from a career development point of view this really is a superb permanent opening.

YOU

You'll be a highly organised and professional Event Co-ordinator with 3-5 years’ event logistics experience gained either from working within a membership organisation or within a publishing or commercial conferencing environment.

You’ll have a proven track record in full end-to-end event management including venue finding & venue liaison, event planning, budgeting, invitation & promotional material design & production, logistics, supplier management (catering, AV & production, florists), delegate registration, event marketing, sponsor management, on-site event management, post event analysis & reconciliation. You’ll also have strong project management and IT skills and experience of working with members, committees, sponsors, speakers and senior exec level stakeholders & partners.

From a personality and work ethic point of view you’ll be pro-active, team orientated, creative, hands-on, diplomatic and good at problem solving with exceptional attention to detail and an incredibly professional, meticulous and process-driven approach. Other key requirements include event marketing/event promotion experience and strong negotiation skills (venues and suppliers) and as there is a fair bit of liaison with event staff in many of the organisation’s other smaller offices across the UK, good communication skills along with accurate and detailed event data recording (on a shared “drive”) are essential.
