Event Assistant (B2B events & exhibitions)

Job Description

Amazing opportunity (7 week contract starting asap!) for a highly organised Event Assistant with some exhibitions related experience to work on a large and highly prestigious annual international event!

THE COMPANY
The organisation deliver events and information to the news, entertainment and broadcast industry – and this is working on their major flagship annual 6-day event (overseas) which attracts over 50,000 attendees and 1000+ exhibitors –  so an amazing event to work on!

THE ROLE 
You’ll be a central support role to the Events team in the build up to a major international Exhibition Event taking place overseas later this year. You will be depended on to deliver accurate, timely and professional communication and information to relevant stakeholders and be relied on to be a consistent support to the team during a very busy event build up.

Key Responsibilities:

  • Exhibitor, speaker and supplier communication, filing, proofing and pre-show preparation
  • A key contact for the events team emails and calls
  • Handling the exhibitor & speaker in-box
  • Assist with accurate updating of the CRM system
  • Proactively manage the input of accurate information to a central sponsorship fulfilment system, and regularly report on status of activities
  • Handle exhibitor engagement and assist with sponsorship or other services to set deadlines
  • Manage file sharing sites ensuring relevant parties receive required materials in time

THE CANDIDATE 
You’ll be highly organised and have great administration skills and some working experience of events within an exhibitions environment. You’ll have a good basic understanding of the process of coordinating exhibitors and in delivering an exceptional support service. Excellent communication and customer service skills are pertinent to the role, in addition to a meticulous attention to detail and high level of accuracy. You will thrive in high pressure environments and have the passion and desire that goes with working in large scale events.

Key requirements:

  • Some practical events experience either at university or in a professional role
  • Strong IT skills (MS office, CRM systems, databases and file sharing sites)
  • Basic events / exhibition planning and implementation skills
  • Excellent customer service skills and very client focussed
  • A great team player; works collaboratively and regularly helps others
