Job Description

Fantastic 6 month Events Coordinator contract starting January 2018 working on a huge 5 day international B2B trade event in Washington DC (London based role but you’ll spend 1 month in DC working on-site at the event too!).

Well established London PCO who deliver high profile large scale 4-5 day global conferences for the energy and oil & gas sectors. London office and friendly and fun team.

THE ROLE

This is a 6 month contract role starting January 2018 supporting the Head Logistics Manager that will see you handling all the event logistics coordination for 1 large scale international trade conference for the energy sector in the US in June 2018. The event is a multi-strand global trade conference lasting 5 full days with circa 8,000 delegates, 250+ exhibitors and 70 different speaker sessions …… so with around 250-300 different speakers, hundreds of delegates, a packed programme of key notes, breakouts, debates, workshops & presentations, a big exhibition floor and a wide ranging social event timetable of receptions, gala dinners and off-site excursions this a huge and very complex event!

The logistics coordination will include delegate registration, venue & hotel liaison (bookings, accommodation & venue room set-up), equipment/signage/branding/theming coordination, speaker & sponsor liaison, admin & reporting, sponsorship fulfilment, seat plans & guest lists, staff schedules & itineraries, supplier liaison (F&B, AV & production etc..), basic event & programme marketing & communications, on-site event coordination and post event reconciliation & reporting.

This role will involve travelling to the event and spending 1 month on-site in Washington DC.

ABOUT YOU

You’ll need to have a minimum of 1 + ½ years B2B events experience within the conference, exhibitions & congress fields (ideally overseas conference & events experience) and be comfortable handling complex logistics and a high volume of speaker & delegate communication.

You’ll be an enthusiastic team player who can also work proactively and independently and be someone who already has some good all-round knowledge of all the different  types of conference & event related logistics including delegate registration, equipment/signage/branding coordination, accommodation & venue requirements, speaker & sponsor liaison, admin & reporting, supplier liaison (F&B, AV & production etc), sponsorship fulfilment and on-site event coordination along with some basic event programme marketing experience and good budget & financial admin skills.

From a personality point of view, you’ll be bright and bubbly with bags of energy and enthusiasm and you’ll have a very detailed, dedicated and can-do approach.

It would be great if you had some experience or knowledge of the oil & gas and/or energy sectors but this is not essential at all.

NB: You must be willing to work on-site in the US for up to a month in June 2018 and must be available to start a 6 month contract mid-January 2017.
